Minutes of the
Board of Directors Meeting
January 25, 2005

CALL TO ORDER:
Vice-President Bob Carmichael called the meeting to order at 6:37 p.m. at the Melbourne Square Mall's Meeting Room on January 25, 2005.
PROOF OF NOTICE OF MEETING:
Notice of the meeting was posted on the bulletin board.
MINUTES:
A motion was made by Bob Mathews and seconded by Shea Shannon to approve the organizational minutes of November 30, 2004. This motion was carried
unanimously.
OFFICER'S REPORTS:
Bob Carmichael gave an update on Jim Irvin's condition and we all wish him a speedy recovery.
MANAGEMENT REPORT:
Management stated that the December 2004 books would be closed the end of January. The 1099's and taxes are also being done at this time.
COMMITTEES:
ACRC - Robert Abbassi is in the process of recruiting volunteers to serve on his committee.
Grounds and Gates - Doug Akers reported that the gate was damaged in December. He is getting bids and looking at ways to save money. He's also looking at different options since too many people are coming in the community. Cameras will cost approx. $18,000. In another instance, someone disassembled the gate, which was direct vandalism as well as lights at the front entrance area being unscrewed. The question was raised if we should keep the gate opened during the day to help stop some of these problems. It was also asked if we should have 1 code. Robert Abbassi volunteered to look at different camera systems since he was in the business and will come back with costs to review. It was suggested that a contact list be made available at the gate if anyone had any problems.
Doug also noted that Jack Groves has been maintaining the lights at the entrance area and he is moving. We need a Lightning technical person to help oversee this area. Dan Hussey volunteered to check the wattage of the lights to see if we need to upgrade them.
Doug also noted that several trees in the common area needed to be removed and trimmed. He'll put together a list and possible have a Grounds party to clean up the area.
Debbie Hussey gave an update regarding the fence at the front area. The Board had allocated approximately $400 but no one had the means to install it. The back gate is used for emergency purposes and we can not block it off unless we obtain the City's approval. She did note that both owners had agreed for the extension of the back gate if it's approved.
Neighborhood Watch/Security - We need someone to head up this committee. Max Wicks will be contacted to see if he is interested.
Covenant Review - Bob Carmichael stated that he has received input from Bill Heithaus and will inquire about suggestions in the newsletter.
Audit - Bob Carmichael stated the 2003 audit was still in progress.
UNFINISHED BUSINESS:
Bob Carmichael stated that in 2003 we averaged $25,000 in our operating account without any interest. He will look at getting more information for the next meeting.
NEW BUSINESS:
Repaint Gate- Some owners have requested the gates be painted white. It was decided that the Association hasn't had any problems with people not seeing the gate and we should leave it the color it is.
The next meeting is scheduled for March 7th at the Mall.
QUESTIONS FROM THE FLOOR:
An owner complained about the house with an unlicensed van in the driveway that also has a broken window.
They also have a motor and trashcans in front of the van.
Robert Abbassi will personally go and visit with him to see if he can have him comply with the Covenants before Code Enforcement is contacted.
There were still complaints with the owner with all the cars in the streets and they now have sheets in the windows. Management will send them a 2nd notice for compliance.

A motion was duly made and seconded to adjourn the meeting at 8:00 p.m.
